The project began with a request for an informational portal and a tender system. However, during data entry, the core challenge emerged: severe difficulty in organizing project data, revealing that archives since 1998 were entirely unindexed. This was due to fast-paced, parallel workflows across multiple teams (Execution, Management, Documentation, and Design).

The charity struggled to find a system capable of handling complex, scattered inputs while remaining simple enough for non-technical staff to update independently, all while providing management with precise operational oversight.

ibex intervened by conducting extensive discussions with Al-Noor stakeholders. Rather than getting bogged down in microscopic project details initially, we engineered a flexible, custom workflow to simplify data entry and automate collection. The system was developed and deployed over multiple iterative phases to monitor how teams interacted with the digital platform, effectively transitioning them from manual routines.
We built a unified pipeline where design, execution, and documentation teams upload assets concurrently, while providing managers with precise, real-time tracking data to streamline administrative oversight and secure historical storage.

The Results & Digital Impact
The final delivery established an integrated software infrastructure and operational project system, transitioning the charity to digital governance. The platform did not demand immediate, comprehensive entry of the 1998 archive; instead, it provided the technical repository and flexible pipelines required for incremental, ongoing migration without disrupting daily tasks. It successfully stopped active data fragmentation and unified the four teams.
The charity now utilizes an intuitive control panel enabling non-technical staff to execute complex entries seamlessly, alongside an admin mobile app providing real-time management oversight on document flows. The AI analytics engine is fully active, optimizing decision-making. Crucially, the system offers a highly stable, scalable software core engineered to easily accommodate future commercial upgrades or custom modules
